  • Storage
    • Most people don't have cloud storage equal in size to their local storage, so decisions have to be made as to what to store on the cloud and what to have available only locally
      • I opted to to store documents from the previous school year, and the current school year
      • I also eliminated documents that I didn't need to reference in EagleFiler or on the iPad, such as FileMaker databases, web site documents, resource files used to make final documents (images for example)
  • Personal Files vs Work Files
    • What do you need where?
    • Do you want to separate them?
  • Scanning
    • What quality do you want (balance between fidelity, speed, and file size)
    • Do you need to do OCR?
      • This will increase time and reduce fidelity
      • Is it worthwhile to scan in batch, then OCR in batch as two separate (batch) steps?
    • Should you scan your documents in batch, or as they come in
      • Turns out that most scanners will scan a "batch" of files into a single, multi-page PDF file, or every page is its own file
      • Some of the bigger HP document scanners might have a software process that pops up after scan asking you how you want to "bundle" the scanned pages into final files - I will have to look into that
      • If you scan documents the day that you get them, the files' date metadata will be accurate without manual adjustment
      • Should you go back historically and scan old documents?
  • File Organization
    • Should you use a dedicated application or the Finder?
      • Dedicated applications can create problems due to their proprietary storage mechanisms: they can become slow over time, backups are complicated because the database is seen as one big file, if the database gets corrupted you can lose lots of data, you have to export to get content out
      • Dedicated applications have benefits in that they have extensive capture, organization, and search tools
