After researching a number of options, these are the tools that I have come up with:
- EagleFiler
- Has a number of methods to capture data:
- Hot Key capture
- Import
- Drag and drop
- Mac OS X services
- Clipboard import
- Selection import (with keyboard shortcut)
- Print to PDF to EagleFiler
- To Import folder action (can place in dock, Finder sidebar, etc)
- Has awesome organization tools:
- Folders
- Tags
- Advanced, nested, boolean search
- Smart Folders
- Smart Folders with Actions
- Labels
- Filter
- Search terms are highlighted in documents
- Integration with Finder/Native formats
- EagleFiler stores all of the files imported into the application in traditional Finder folders, as native, independent documents - they can still be opened, viewed and edited in third party applications
- Native storage means you will never be locked into an application's eco system, or have to worry about exporting to get data out
- Native storage also means that you it works well with Backup systems, as it appears as a regular file in the file system (as opposed to a monolithic database that needs o be backed up because of a single tiny change)
- Not storing the data in a large database also reduces the chances of data loss due to corruption
- Finder metadata (Spotlight comments, icon, labels, etc) is intact and editable from the Finder
- Libraries and Storage
- EagleFiler stores all of its files in a library, and EagleFiler can have more than one library
- Libraries can be stored anywhere: local disks, FireWire disks, USB thumb drives, Cloud disks (iDisk, DropBox), iPhones, iPads
- Fujitsu ScanSnap
- Scans documents and converts to PDF (scans front and back in one pass)
- Optionally will perform OCR
- You can set the scan folder to EagleFiler's "To Import" folder, for automated import into EagleFiler
- See this page for a look at the ScanSnap setting options
- The Fujitsu ScanSnap comes with all of the scanning software you need, including ABBY FineReader for OCR recognition
- There are third party OCR applications that may provide more flexibility, such as ReadIRIS, that I haven't looked into yet
- AirSharing HD
- An iPad application used to access documents on a remote device
- Works with iDisk
- Reads several document formats
- Search
- Print
