I have thought about the concept of a paperless office many times. There were always two key areas where my idea fell short:
- Managing information, data and notes in meetings
- In meetings I often may need to refer to information about a topic or project
- It is frequently useful to take notes in meetings
- Now I could use a laptop for these tasks, but it always seemed like too big of a tool for the job, and I don't like having the "big wall" of a laptop at a meeting, it seems to create a social barrier among the others at the table.
- Also, laptops they are not easy to use if you aren't sitting at a table
- Reading the vast quantities of product information, technical manuals, research, grant proposals, etc.
- I have a 24" monitor on my desk. I have a 17" laptop at home. I have an iPhone. Yet none of these devices is comfortable or conducive to the simple act of reading long (more than five pages) documents. They aren't comfortable at a desk, in a chair, on the couch, or in the bed.
- So I would find myself printing out these documents, simply to be able to read them comfortably
After getting the iPad was announced, I immediately decided that I would like to think about trying the concept of going paperless. The iPad eliminate all of the issues above. So this document is going to document my "going paperless experiment". I haven't actually started the actual workflow yet, but I have started to outline the concept.
Anticipated Benefits:
- Exchange "filing time" with scanning time
- Should be easier to find things (search, tagging, no physical)
- Tagging allows organizing documents into multiple areas
- Portability of access to documents
- Many times people need a file emailed anyways, and if not, I can print a new copy
- Many time I print documents simply to read at a more convenient time or location. With iPad I can now do that electronically.
The question of course, is will the workflow work as planned, and will the benefits above be realized?
